Date Stamping of Claims - CAM 092

Description:
Claims will be date stamped on the day that they are received. This date will assist in accurately monitoring the length of time taken to process the claim. From this date each area can determine claims timeliness.

Policy Statement:
The length of time taken to process a claim begins on the day the claim is received at BCBS of SC.

  1. Each department will have its own date stamp. The stamp will show the department name and the date in MM/DD/YY format.
  2. Paper (hardcopy) claims will be date stamped as follows:
  3. FEP and Dental claim forms opened in Mail Services: Mail Services will date stamp on the day the claim is received.
  4. Health Insurance Claim forms CMS 1500 and/or HIC, UB-04 claim forms, Comprehensive and Major Medical type claims forwarded to Corporate Claims Development by Mail Services: Corporate Claims Development will date stamp on the day the claim is received.
  5. Any type of claim forwarded to a claims area (including "attention" mail): The claims area will date stamp on the day the claim is received even if the claim requires handling by another department or location.
  6. When claims are keyed into the claims processing system, the date stamped on the claim will be used as the receipt date.
  7. If a claim has more than one date stamp, the oldest date will be used as the receipt date. If the claim has been returned for additional information, it will be date stamped on the day it is received with the requested information. This date will be used as the receipt date when the claim is processed.
  8. When a claim has been forwarded to an area by Corporate Claims Development but the claim requires handling by another department or location, the receiving department must return the claim to Corporate Claims Development within 24 hours.
  9. The received date for faxed documents should be logged/keyed with the date the facsimilie was received at BCBS.
